How do I temporarily suspend a member's gym membership?

Q&A • Freeze

How do I temporarily suspend a member's gym membership?

For a pause you use a freeze, not a cancellation. A frozen membership no longer gives access, and when you resume it, its validity is extended by the days it stayed frozen. The history stays intact.

Short answer

  1. Open the memberships list, pick the member's active membership and press freeze: it freezes from the current day.
  2. A membership that is already frozen or cancelled cannot be frozen again.
  3. While it is frozen, the member's check-in is refused, and the days are not lost.
  4. On resume, the end date moves forward by the number of frozen days; you do the resume, it does not happen by itself.
  5. Cancelling closes the membership for good, whereas a freeze keeps it for resuming; both keep the history.

Practical example

Example: a member's membership ends on 30 June. On 10 June the member goes on holiday and the front desk freezes the membership. On 20 June they return and the front desk resumes it: 10 days were frozen, so the end date becomes 10 July. In the meantime, any check-in by the member would have been refused.

Common mistakes

  • Forgetting to resume the membership, so the member shows up but the check-in is refused because of the frozen status.
  • Cancelling the membership instead of freezing it and losing the continuity of the member's membership.
  • Expecting the membership to resume by itself on a given date; resuming is manual.

How 4gym helps

  • Freeze and resume from a single place, straight from the memberships list.
  • The extension by the frozen days is calculated automatically on resume.
  • The check-in refuses frozen memberships, so a paused membership cannot be used by mistake.
