How does the waiting list work for group classes?
Class bookings are entered by the club's team, not by the member. When the class is full the booking is not lost: it goes on the waiting list, in the order it was made, and a freed place is taken automatically by the first in line.
Short answer
- The team creates the booking for the member on a session; if places are left, the booking is confirmed.
- When the class has reached its capacity, the new booking gets the status “waiting” and joins the end of the list.
- If a booking is cancelled or the class capacity is raised, the oldest member on the waiting list is promoted automatically.
- If the session is cancelled, all its bookings are cancelled; a member cannot hold two active bookings on the same session.
- A booking does not consume an entry from the membership; the entry is consumed only at check-in. The promoted member gets no automatic message, so you tell them yourself.
The status of a booking
Class booking statuses and what triggers them
| Status | When it appears |
|---|---|
| Booked | The class had a free place at the time of booking |
| Waiting | The class was full; the list order is the order of the bookings |
| Cancelled | The booking was cancelled or the session was cancelled |
Practical example
Example: Thursday's 18:30 spinning class has a capacity of 12 and is full. The front desk books a thirteenth person, Ana, who goes on the waiting list, then another, Mihai, behind her. One member cancels: Ana, first on the list, becomes booked automatically, while Mihai stays waiting. The front desk calls Ana, because the application sends no messages.
Common mistakes
- Assuming members can join the list themselves; only the club's team makes bookings.
- Waiting for the application to tell the promoted member, although 4gym sends no messages: you contact them.
- Thinking the booking used an entry and deducting it by hand; the entry is consumed only at check-in.
- Raising the capacity and forgetting that the waiting list empties at once, in booking order.
How 4gym helps
- Capacity per session, with counters for booked places and waiting members.
- Automatic promotion in booking order, on a cancellation or when capacity is raised.
- Personal training sessions have a single place, and the same trainer's diary admits no overlaps.
