Limited spots, not “turn up and see whether there is room”
Every studio has a real capacity: 18 bikes for spinning, 20 mats for yoga, 12 stations for CrossFit. When you create a session you give it a capacity, and bookings stop exactly there: the next member does not get a spot but joins the waiting list. The front desk sees on each session how many spots are taken and how many members are waiting, so it can answer on the spot when a member asks whether there is still room.
The waiting list: freed spots are filled in order
A popular class sometimes loses a booking a few hours before it starts. In 4gym, when the front desk cancels a booking, the system automatically promotes the first member on the waiting list, in the order they signed up; the same happens if you raise the session’s capacity. The system does not send messages: the front desk sees in the panel that the spot was filled and tells the member the way the gym usually does, for example by phone.
A booking does not use an entry; attendance does
A class booking holds a spot but deducts nothing from the membership. The entry is only used up at the front-desk check-in, where the system checks the member’s membership: validity, location, time window and remaining entries. If you cancel a session, its bookings are cancelled with it. The system does not apply cancellation deadlines or penalties: you apply the gym’s own rules.
Personal training on the same timetable as classes
Personal training sessions are sessions with a capacity of 1, scheduled at the same location and on the same timetable as classes. A trainer cannot be scheduled twice in the same interval: if a new session overlaps another one of theirs, the system rejects it. The session list can be filtered by trainer, location and period, so the front desk quickly sees what is coming up.
