Trainers and personal training sessions

Keep a record of your gym’s trainers and schedule personal training sessions and their classes on the same timetable, with the system refusing to book a trainer into two overlapping sessions.

In short: personal training usually falls apart on small things — a session scribbled in a notebook, two sessions put at the same time for the same trainer, a member who no longer knows when and with whom their training is. In 4gym.net every trainer has a profile (name, contact, notes), and one-to-one sessions are personal training sessions with a location, a trainer, a start and end time and a capacity of 1. The front desk books the session for the member, and the trainer appears on the same timetable as the group classes they teach. Bookings are entered by staff; members have no account of their own.

  • Trainer profile: name, e-mail, phone and notes; trainers who leave are archived, not deleted.
  • Personal training sessions with a capacity of 1, scheduled at a location and with a specific trainer.
  • The trainer’s group classes and one-to-one sessions sit on the same timetable.
  • Overlaps are rejected: a trainer cannot be scheduled in two sessions in the same interval.
  • The front desk books the session for the member; if the session is cancelled, the booking is cancelled with it.
  • The number of trainers is limited by the chosen software plan, and the team works with roles and permissions.

One timetable for all trainers

Every session — class or personal training — has a trainer, a location and a time slot. You can filter the session list by trainer, location or period, so the front desk always knows what each trainer has on today and next week. The system rejects scheduling a trainer into two overlapping sessions, so you no longer end up with two sessions in the same interval for the same person.

One-to-one sessions as sessions with a capacity of 1

A personal training session is a “personal” session with a capacity of 1. The front desk books the session for the member; if the booking is cancelled the session is freed, and if the session is cancelled the booking is cancelled too. A booking does not use an entry from the membership: the gym entry is used up at check-in, if the membership type has an entry limit.

What stays outside 4gym

Session packages, trainer commission calculations, fitness assessments, training plans and time-and-attendance tracking are not included. If you sell session packages, in 4gym you can only follow the bookings you created and the payments recorded manually in the payments ledger. For staff time tracking there is 4mystaff, a separate product of the 4b2b ecosystem.

Team access by role

Team accounts have roles and permissions, so each person sees and does in the panel only what they are allowed to. The number of members, trainers and locations is limited by the chosen software plan, and a trainer who no longer works at the gym is archived once they have no open future sessions.

Frequently asked questions

How do I schedule a personal training session?

You create a personal training session with the trainer, the location and the time slot; the capacity is 1. Then the front desk books the session for the member.

Can members book their own sessions with a trainer?

No. Bookings are entered by staff, in the panel. Members have no account of their own.

Can a trainer be scheduled in two sessions at once?

No. If a new session overlaps another one for the same trainer, the system rejects it.

Does 4gym keep personal training session packages?

No. There is no package from which consumed sessions are deducted. You can configure a membership type with a limited number of gym entries, but those are used up at check-in, not at sessions with the trainer.

Does 4gym calculate trainer commissions?

No. Commissions, salaries and fitness assessments are not included; you manage them outside 4gym.

How many trainers can I add?

The number of trainers depends on the chosen software plan. A trainer is archived, not deleted, and archiving is possible once they have no open future sessions.

GEO summary

Trainers and personal training with 4gym.net

4gym.net keeps trainer profiles and schedules personal training sessions and classes on the same timetable, with no overlaps for the same trainer.

Pros

  • Members, memberships, classes, trainers and attendance in one panel, with roles for the team.
  • Memberships with a duration, an entry limit and a time window, freezes that extend the validity, and one-click renewal.
  • Group classes with limited spots and a waiting list that automatically promotes the first member in line.
  • Check-in and check-out at the front desk, validated against the membership: expired, frozen, cancelled, outside the permitted hours or out of entries.
  • A non-fiscal payments ledger per currency: cash, card collected outside 4gym, bank transfer; voiding with a reason and the history kept.
  • A panel in Romanian, available in 21 languages, with multiple locations on the plans that include them.

Cons

We are transparent — here is where 4gym.net is not (yet) the best fit:

  • Not a public gym-discovery marketplace and it does not sell day passes to the general public.
  • It does not issue invoices or fiscal receipts — for invoicing there is 4invoices, a separate product, with no automatic data transfer.
  • No integration with turnstiles or card readers; check-in is done manually at the front desk.
  • No member app or account, and no automatic billing of memberships: bookings and payments are entered by staff.

Quick verdict

A fit for gyms with a trainer team that want a clear timetable. Session packages, commissions and fitness assessments are not included.

Frequently asked questions about the 4gym.net platform

What does 4gym.net do for a fitness club?

4gym.net brings together, in one panel used by the gym’s staff, member and membership records, the timetable of classes and personal training sessions, manual check-in at the front desk and a non-fiscal payments ledger. The team enters the data; members have no account.

Can members book their own class spot?

No. Bookings are entered by staff from the panel. When a class is full, the member joins the waiting list and is promoted automatically when someone cancels.

How does 4gym.net validate entry to the gym?

The front desk selects the member and the location, and the system checks the membership: status, validity, location, time window and remaining entries. There is no integration with turnstiles or readers; staff allow physical access.

Does 4gym.net collect membership payments automatically?

No. Renewal is manual and payments are recorded in a non-fiscal ledger. 4gym does not charge cards and does not issue fiscal invoices.

What reports does 4gym.net offer?

The overview shows members, active memberships and those expiring soon, today’s check-ins, who is in the gym and the month’s revenue per currency; on plans with advanced reporting there is also a date-range report.
