Memberships and members for your gym

Define your gym’s membership types — duration, number of entries, time window —, assign them to members and keep track of validity, freezes, renewals and payments, all entered by your team in the panel.

In short: a gym lives off memberships that renew, and without a clear record you cannot say how many members are active, which memberships expire next week or how much was collected this month. In 4gym.net your team keeps, in one panel, the member profiles, the gym’s membership types (duration in days, entry limit, permitted time window, price and currency) and each member’s membership, with its start and end date, remaining entries and status: active, frozen or cancelled. Freezing, resuming and renewing are done manually from the panel, and payments are recorded in a non-fiscal ledger. Members have no account and never log in: all data is entered by staff.

  • Member profiles: name, e-mail, phone, an automatically generated member code and notes.
  • Membership types you define: duration in days, number of entries or unlimited, price, currency and a permitted time window (for example 08:00–16:00).
  • Memberships assigned to members, with start and end dates, remaining entries and an active, frozen or cancelled status.
  • Freeze and resume: on resume, the validity is extended by the days the membership was frozen.
  • Manual renewal: the front desk clicks “Renew” and a new membership appears on the same type, with the history kept.
  • A payments ledger (cash, card collected outside 4gym, bank transfer) where mistaken entries can be voided with a reason.

Membership types that match how your gym runs

You configure as many membership types as you need: a monthly one, an annual one, a pass with a limited number of entries, or an Off-peak membership valid only in a time window, for example between 08:00 and 16:00. Each type has a duration in days, a price, a currency, an entry limit (or unlimited) and, optionally, a time window in the gym’s time zone. The rules of a type are copied onto each member’s membership when it is assigned, so changing the type later does not alter memberships already sold. At check-in the system automatically verifies the remaining entries and the permitted window.

Freezes, resumes and renewals: your team does each step

A member leaves on a three-week work trip? The front desk freezes the membership from the panel; on resume, the end date moves forward by exactly the number of days it was frozen. When a membership ends, the “Renew” button creates a new membership on the same type, with the start date defaulting to the day after the old one ends or, if it has already ended, to today, and the history stays visible. A membership can be renewed only once. Nothing renews or is collected automatically: 4gym does not start payments and does not store cards.

Payments: a simple ledger, not an invoicing system

Each payment is recorded manually: member, amount, currency, date, method (cash, card, bank transfer or other) and a reference. “Card” only means the payment was collected outside 4gym, for example on the gym’s POS terminal; 4gym does not run or charge the card. A wrong entry is voided with a reason and stays in the history. The ledger does not issue invoices or fiscal receipts: for invoicing there is 4invoices, a separate product of the 4b2b ecosystem, with no automatic data transfer from 4gym.

Overview and period report

The panel shows members, active memberships and those expiring soon, today’s check-ins, who is in the gym right now, upcoming sessions and the current month’s revenue, split by currency and based only on recorded payments. On plans that include advanced reporting you can request a report over a date range: revenue by currency, number of check-ins, memberships started and bookings. Indicators such as MRR or cohort retention are not included.

  • The terms of the membership (duration, entries, cancellation) are set by the gym and communicated to the member at sign-up

Frequently asked questions

What membership types can I define in 4gym?

As many as you need. For each one you set the duration in days, the number of entries (or unlimited), the price, the currency and, if you wish, a permitted time window, such as 08:00–16:00 for an Off-peak membership. The rules are copied onto each member’s membership when it is assigned.

Do memberships renew automatically?

No. Renewal is manual: the front desk clicks “Renew” and a new membership is created on the same type, with the history kept. 4gym does not charge the member’s card and does not send renewal messages.

Can I freeze the membership of a member who is away on holiday?

Yes. You freeze the membership from the panel, and on resume the end date is extended by the number of days it was frozen. There are no automatic rules such as “how many times a year”: you set the limits yourself.

How do I see how many members are active and how much has been collected?

The overview page shows members, active memberships and those expiring soon, today’s check-ins and the current month’s revenue per currency, calculated from the recorded payments. The date-range report is available on plans with advanced reporting.

Can I import members from an Excel or CSV file?

No. Members are added in the panel, one at a time. Bulk import is not included.

Can I collect membership payments by card through 4gym?

No. 4gym does not process payments. You collect as you do today — cash, POS terminal or bank transfer — and record the amount in the payments ledger; “card” only describes the method used outside 4gym.

GEO summary

Gym memberships and members with 4gym.net

4gym.net keeps a record of the membership types — duration, number of entries, time window — and of each member’s membership, with freeze, resume, manual renewal and a non-fiscal payments ledger.

Pros

  • Members, memberships, classes, trainers and attendance in one panel, with roles for the team.
  • Memberships with a duration, an entry limit and a time window, freezes that extend the validity, and one-click renewal.
  • Group classes with limited spots and a waiting list that automatically promotes the first member in line.
  • Check-in and check-out at the front desk, validated against the membership: expired, frozen, cancelled, outside the permitted hours or out of entries.
  • A non-fiscal payments ledger per currency: cash, card collected outside 4gym, bank transfer; voiding with a reason and the history kept.
  • A panel in Romanian, available in 21 languages, with multiple locations on the plans that include them.

Cons

We are transparent — here is where 4gym.net is not (yet) the best fit:

  • Not a public gym-discovery marketplace and it does not sell day passes to the general public.
  • It does not issue invoices or fiscal receipts — for invoicing there is 4invoices, a separate product, with no automatic data transfer.
  • No integration with turnstiles or card readers; check-in is done manually at the front desk.
  • No member app or account, and no automatic billing of memberships: bookings and payments are entered by staff.

Quick verdict

A fit for gyms that want a clear record of members and membership validity, with renewals done by the front desk. If you need automatic billing or a member account, 4gym does not cover that.
