Guide: management for a fitness gym
A fitness gym is run from four registers: who holds a valid membership, who has come in, who takes the seats in group classes, and what has been collected this month. Kept apart, in a spreadsheet and on paper, the four never reconcile. This guide to managing a fitness gym shows what you need to keep track of, which figures to watch month by month, and what you can do with 4gym.
How you run the gym (short answer)
- Keep members and memberships in a single database, with the expiry date visible at the front desk.
- Check the membership on every entry: at the front desk, staff run the check-in and 4gym checks the status, the time window and the entries left.
- Schedule group classes with limited places and a waiting list, so the spinning studio never gets overbooked.
- Schedule personal training as individual sessions, with a trainer, a place and a time slot; 4gym refuses to double-book the same trainer.
- Record payments in a ledger and review monthly revenue by currency and the number of memberships about to expire.
The essential modules
- Memberships and members: offers with duration, price, entries and an allowed time window; freeze, resume and manual renewal.
- Front desk: check-in and check-out done by staff, with the membership verified on every entry.
- Group classes: aerobics, spinning, yoga or HIIT sessions with limited capacity and a waiting list; staff book the member in.
- Trainers and personal training: your trainers, one-to-one sessions, and a refusal to double-book the same trainer.
- Payments: a manual, non-fiscal ledger by method (cash, card, bank transfer or other) and currency, with voiding that requires a reason.
- Overview and reports: members, active and expiring memberships, today's check-ins, the month's revenue by currency; a date-range report on plans that include advanced reporting.
Table: spreadsheets and paper vs. dedicated gym software
Many clubs start with a member spreadsheet, a notebook at the front desk and a group chat for classes. The table below compares the fragmented approach with dedicated gym software, on the operations that repeat every day.
Separate tools vs. dedicated fitness gym software
| Operation | Spreadsheets and paper | Dedicated gym software |
|---|---|---|
| Memberships | A spreadsheet list, expiries checked by hand | Expiry date and entries left, calculated from the chosen offer |
| Entry to the gym | The front desk looks the name up in a list | The front desk selects the member and 4gym checks the membership before recording the entry |
| Group classes | Places booked in a chat, with overbooking | Limited places and a waiting list, with the first in line promoted automatically |
| Payments | Jotted down in a notebook or a separate file | A manual, non-fiscal ledger with voiding that requires a reason |
| This month's revenue | Estimated from the bank statement | The month's revenue by currency, from the recorded payments |
How you define membership offers
- Each offer has a name, a duration in days, a price and a currency; entries can be unlimited or limited.
- On an offer with limited entries (say 10), every check-in uses one entry; booking a class uses none.
- An allowed time window (for example 08:00–16:00) makes an off-peak membership; entry outside it is refused.
- The offer's rules are copied onto the membership when it is created: if you change the offer later, memberships already created stay as they were.
Peak hours and seasonality
- The 18:00–21:00 slot is usually the traffic peak in urban gyms.
- Schedule the large classes and the extra trainers exactly on that slot.
- January and September usually bring the sign-up waves; July and August are the weak months.
- The Overview shows how many members are inside right now and how many check-ins were recorded today; the inside count depends on the check-outs the front desk records.
Retention: where you lose members
- Member drop-out shows up late: usually only when a membership expires and is not renewed.
- A member who has not come in for three weeks is unlikely to renew their membership.
- Contact the member before expiry, not after: the Overview shows how many memberships are about to expire. You make the call yourself — 4gym does not send messages.
- Offer a freeze for holidays or an injury, as an alternative to cancelling; on resume, the end date moves by the frozen days.
GDPR: what data you keep on members
- The visit log (who came in and when) is personal data: set a retention period and restrict access by role — 4gym has team accounts with roles and permissions.
- 4gym stores only basic member data: name, e-mail, phone, member code and notes. It has no fields for health data, so do not write it in the notes field.
- Cameras in the gym must be clearly signposted, and the recordings kept for a limited period.
- A member can request a copy of their data and its erasure when the membership ends; prepare the club's procedure in advance.
Common mistakes
- Selling memberships without checking validity at the entrance — members keep coming in for weeks after expiry.
- Opening group classes without limited places and ending up with 30 people for 20 spinning bikes.
- Not watching attendance, so you find out about drop-out only when the member stops paying.
- Keeping payments in a file separate from the memberships, so you no longer know who paid for which period.
How 4gym helps
- Members, memberships, classes, trainers, front desk and manual payment records in a single panel, entered once by staff.
- At check-in, 4gym checks the membership status, location, time window and entries left, and refuses an expired, frozen or used-up membership.
- Group classes with limited places and a waiting list that automatically promotes the first member in line when a place frees up.
- An overview with active and expiring memberships, today's check-ins and the month's revenue by currency; a date-range report on plans with advanced reporting.
- What stays outside 4gym: it does not issue invoices or fiscal receipts (for invoicing there is 4invoices, a separate product), does not charge cards, does not message members and does not connect to turnstiles.
