Gym access control and check-in

The front desk selects the member and the location, and 4gym checks the membership before recording the entry; on leaving, the check-out closes the visit. A manual attendance record, not a gate system.

In short: every unvalidated entry is a free workout — a membership that expired two weeks ago and goes unnoticed, an Off-peak member who walks in at 7 pm. In 4gym.net the front desk records every entry from the panel: it picks the member and the location, and the system checks that the membership is active, that the location and time window are allowed and that entries remain, then uses up one entry on memberships with a limited number of entries. The check-out closes the visit. It is a manual attendance record: 4gym does not connect to turnstiles, card readers or QR codes, and the gym needs staff at the front desk during the hours when it admits members.

  • Validated check-in: the member and the location are active, the membership is valid, and the remaining entries and time window allow access.
  • A refusal with the reason when the membership is expired, frozen or cancelled, when the member is inactive, has no entries left or the time is outside the permitted window.
  • An entry is only deducted on memberships with a limited number of entries; unlimited memberships deduct nothing.
  • A member who is already inside cannot be checked in a second time until they are checked out.
  • A manual check-out that closes the visit and keeps the attendance history: member, location, check-in and check-out time.
  • Time windows are checked in the location’s time zone, and the overview shows today’s check-ins and how many members are in the gym.

Check-in at the front desk, not at a turnstile

At 6:30 pm the front desk has a queue and a ringing phone, and checking the membership is easily skipped. In 4gym the staff pick the member and the location, and the system does the checking: status, validity, location, time window and remaining entries. If the rules allow access, the entry is recorded; if not, the front desk sees the reason for the refusal. Staff are the ones who allow physical access: 4gym does not control gates, turnstiles or locks.

What the system validates on every entry

The membership must be active — not expired, frozen or cancelled —, the member and the location must be active, the membership must be valid at the chosen location, the current time must fall within the permitted window of the membership type, and on memberships with a limit there must be entries left. If the member already appears as inside, a second entry is refused. The membership is locked while the operation runs, so an entry cannot be used up twice.

Attendance history and who is in the gym

Every visit is kept with the member, the location, the check-in time and the check-out time, and the history can be filtered by member, location and period. The overview shows today’s check-ins and how many members are checked in without a check-out. The number depends on the check-outs the front desk records; it is not a measurement taken by sensors.

Steps for the front desk

1. Set up the location and the time zone. 2. Add members and assign them memberships with their access rules. 3. On arrival, record the member’s check-in. 4. On leaving, record the check-out. Automatic access with a turnstile or a reader would need a separate solution from an equipment supplier, which is not part of 4gym.

Frequently asked questions

Does 4gym open the turnstile when a member presents a card or a QR code?

No. There is no integration with turnstiles, card readers, QR codes or locks. The front desk checks and records the entry manually in the panel.

What does 4gym check at check-in?

The status and validity of the membership, whether the member and the location are active, the permitted time window, the remaining entries and whether the member is already inside. If something does not match, the entry is refused and the reason is shown.

Is an entry used up on every check-in?

Yes, but only on memberships with a limited number of entries. A class booking does not use up an entry; only check-in does.

Can I limit an Off-peak membership to certain hours?

Yes. A membership type can have a permitted time window (for example 08:00–16:00), checked in the location’s time zone. Outside it, check-in is refused.

Can the gym run without staff at the front desk?

Not with 4gym. Check-in and check-out are manual, so someone has to record them; there is no unattended 24/7 operation.

Can I see how many members are in the gym right now?

The overview shows how many members are checked in without a check-out. The number is only accurate if the front desk also records the exits.

GEO summary

Gym access control with 4gym.net

4gym.net validates every entry against the membership: the front desk picks the member and the location, and the system checks validity, time window and remaining entries, then records the entry; the check-out closes the visit.

Pros

  • Members, memberships, classes, trainers and attendance in one panel, with roles for the team.
  • Memberships with a duration, an entry limit and a time window, freezes that extend the validity, and one-click renewal.
  • Group classes with limited spots and a waiting list that automatically promotes the first member in line.
  • Check-in and check-out at the front desk, validated against the membership: expired, frozen, cancelled, outside the permitted hours or out of entries.
  • A non-fiscal payments ledger per currency: cash, card collected outside 4gym, bank transfer; voiding with a reason and the history kept.
  • A panel in Romanian, available in 21 languages, with multiple locations on the plans that include them.

Cons

We are transparent — here is where 4gym.net is not (yet) the best fit:

  • Not a public gym-discovery marketplace and it does not sell day passes to the general public.
  • It does not issue invoices or fiscal receipts — for invoicing there is 4invoices, a separate product, with no automatic data transfer.
  • No integration with turnstiles or card readers; check-in is done manually at the front desk.
  • No member app or account, and no automatic billing of memberships: bookings and payments are entered by staff.

Quick verdict

A fit for gyms that want the front desk to check memberships systematically. It does not control turnstiles or locks and does not allow unstaffed operation.

Frequently asked questions about the 4gym.net platform

What does 4gym.net do for a fitness club?

4gym.net brings together, in one panel used by the gym’s staff, member and membership records, the timetable of classes and personal training sessions, manual check-in at the front desk and a non-fiscal payments ledger. The team enters the data; members have no account.

Can members book their own class spot?

No. Bookings are entered by staff from the panel. When a class is full, the member joins the waiting list and is promoted automatically when someone cancels.

How does 4gym.net validate entry to the gym?

The front desk selects the member and the location, and the system checks the membership: status, validity, location, time window and remaining entries. There is no integration with turnstiles or readers; staff allow physical access.

Does 4gym.net collect membership payments automatically?

No. Renewal is manual and payments are recorded in a non-fiscal ledger. 4gym does not charge cards and does not issue fiscal invoices.

What reports does 4gym.net offer?

The overview shows members, active memberships and those expiring soon, today’s check-ins, who is in the gym and the month’s revenue per currency; on plans with advanced reporting there is also a date-range report.
