How do I manage corporate memberships for companies at my gym?

This question is for the owner or manager of a gym that sells memberships to companies, not for the employee looking for a benefit. 4gym has no company record: you model the corporate offer with a dedicated plan and one member per employee.

Short answer

  1. Create a plan for the company's offer, with a name, duration in days, price, currency and, optionally, an entry limit and a time window.
  2. Add each employee as a member and assign a membership from that plan; the plan groups them in the memberships list.
  3. You can freeze a membership, and at expiry you renew it by hand: a new membership is created from the same plan, history preserved.
  4. You record the company's payment in the payments ledger, with amount, currency, method and a reference; the ledger is manual and non-fiscal.
  5. 4gym has no portal for companies, does not issue invoices and builds no per-company reports: invoicing happens outside the application.

What you can do in 4gym

A corporate offer and what it means in 4gym

What you sell the companyHow it is recorded in 4gym
The company packageA plan with a dedicated name, for instance the company's name
The conditionsPrice, currency, duration, number of entries and time window, set on the plan
The employeesOne member and one membership for each, with a note such as “employee of the company” on the record
The paymentAn entry in the payments ledger, linked to a member or to a membership

Practical example

Example: a company with 12 employees buys morning access. You create the plan “Company X – morning”, valid 30 days, with a 07:00–11:00 window, a price per employee and unlimited entries. You add the 12 employees as members and assign one membership each. At the end of the month you renew each membership from the list and record the bank transfer received in the ledger. You issue the invoice to the company outside 4gym.

What 4gym does not do for companies

  • There is no portal where the company can see its employees or their usage.
  • No invoices are issued and no fiscal documents are generated from the recorded payments.
  • There are no separate per-company reports; receipts appear per currency, for the whole club.
  • Renewal and payment stay manual; nothing renews or debits by itself.

Common mistakes

  • Forgetting that each employee counts as a member within the limit of your 4gym plan.
  • Putting all employees on the same membership instead of one per person, although entries and status are kept per membership.
  • Leaving the company name out of the plan name or the record notes and then being unable to find its employees quickly.

How 4gym helps

  • A plan per offer, with price, currency, duration, entries and time window.
  • Freeze and manual renewal on each membership, with history preserved.
  • A payments ledger with voiding by reason, which keeps the record.
