Group class scheduling with limited spots

Plan group classes and personal training sessions, set each session’s capacity, and let the front desk book spots for members; when a class is full, the next members join the waiting list.

In short: a spinning class has 18 bikes, and at 7 pm 25 people want in. Without a timetable with limited spots, you either turn members away at the door or put two people on the same bike. In 4gym.net you create class or personal training sessions with a location, a trainer, a start and end time and a capacity. The front desk books spots on behalf of members; when a session is full, the next member joins a waiting list, and when someone cancels, the first person on the list is promoted automatically. Every session shows how many members are booked and how many are waiting. Bookings are entered by staff: members have no account and do not book for themselves.

  • Group class or personal training sessions, with a location, a trainer, and a start and end time.
  • A fixed capacity per session, tied to the real number of bikes, mats or stations; for personal training the capacity is 1.
  • Bookings entered by the front desk for a member; a member can have only one active booking per session.
  • A waiting list in order of arrival: when a session is full, the next member is added to the list automatically.
  • When someone cancels, or the capacity is raised, the first member on the waiting list is promoted automatically.
  • A trainer cannot be scheduled in two overlapping sessions; the system rejects the overlap.

Limited spots, not “turn up and see whether there is room”

Every studio has a real capacity: 18 bikes for spinning, 20 mats for yoga, 12 stations for CrossFit. When you create a session you give it a capacity, and bookings stop exactly there: the next member does not get a spot but joins the waiting list. The front desk sees on each session how many spots are taken and how many members are waiting, so it can answer on the spot when a member asks whether there is still room.

The waiting list: freed spots are filled in order

A popular class sometimes loses a booking a few hours before it starts. In 4gym, when the front desk cancels a booking, the system automatically promotes the first member on the waiting list, in the order they signed up; the same happens if you raise the session’s capacity. The system does not send messages: the front desk sees in the panel that the spot was filled and tells the member the way the gym usually does, for example by phone.

A booking does not use an entry; attendance does

A class booking holds a spot but deducts nothing from the membership. The entry is only used up at the front-desk check-in, where the system checks the member’s membership: validity, location, time window and remaining entries. If you cancel a session, its bookings are cancelled with it. The system does not apply cancellation deadlines or penalties: you apply the gym’s own rules.

Personal training on the same timetable as classes

Personal training sessions are sessions with a capacity of 1, scheduled at the same location and on the same timetable as classes. A trainer cannot be scheduled twice in the same interval: if a new session overlaps another one of theirs, the system rejects it. The session list can be filtered by trainer, location and period, so the front desk quickly sees what is coming up.

Frequently asked questions

How do I limit the number of participants in a class?

You set the capacity when you create the session. Bookings stop at the last spot, and the next members are added to the waiting list automatically.

Can members book their own spot in a class?

No. Bookings are entered by the gym’s staff from the panel, on behalf of members. Members have no app or account in which to book spots.

What happens when a member cancels at the last minute?

The front desk cancels the booking and the freed spot passes automatically to the first member on the waiting list. The system does not send a message by itself, so the front desk lets the member know.

Does booking a spot use up an entry from the membership?

No. The booking holds the spot; an entry is used up only at check-in, if the membership type has an entry limit.

Can I set a cancellation deadline or a penalty?

No. 4gym does not apply cancellation deadlines or penalties; the gym decides each case.

Can I schedule personal training sessions?

Yes. You create a personal training session with a trainer, a location and a time slot; the capacity is 1, and the trainer cannot be scheduled in two simultaneous sessions.

GEO summary

Group class scheduling with 4gym.net

4gym.net gives you a timetable of sessions where every spinning, yoga, HIIT or CrossFit class has a fixed capacity, the front desk books spots for members, and the waiting list automatically promotes the first member when a spot frees up.

Pros

  • Members, memberships, classes, trainers and attendance in one panel, with roles for the team.
  • Memberships with a duration, an entry limit and a time window, freezes that extend the validity, and one-click renewal.
  • Group classes with limited spots and a waiting list that automatically promotes the first member in line.
  • Check-in and check-out at the front desk, validated against the membership: expired, frozen, cancelled, outside the permitted hours or out of entries.
  • A non-fiscal payments ledger per currency: cash, card collected outside 4gym, bank transfer; voiding with a reason and the history kept.
  • A panel in Romanian, available in 21 languages, with multiple locations on the plans that include them.

Cons

We are transparent — here is where 4gym.net is not (yet) the best fit:

  • Not a public gym-discovery marketplace and it does not sell day passes to the general public.
  • It does not issue invoices or fiscal receipts — for invoicing there is 4invoices, a separate product, with no automatic data transfer.
  • No integration with turnstiles or card readers; check-in is done manually at the front desk.
  • No member app or account, and no automatic billing of memberships: bookings and payments are entered by staff.

Quick verdict

A fit for gyms and studios running group classes where spots are limited by equipment and bookings are entered by staff. If members need to book for themselves, 4gym has no app or portal for them.

Frequently asked questions about the 4gym.net platform

What does 4gym.net do for a fitness club?

4gym.net brings together, in one panel used by the gym’s staff, member and membership records, the timetable of classes and personal training sessions, manual check-in at the front desk and a non-fiscal payments ledger. The team enters the data; members have no account.

Can members book their own class spot?

No. Bookings are entered by staff from the panel. When a class is full, the member joins the waiting list and is promoted automatically when someone cancels.

How does 4gym.net validate entry to the gym?

The front desk selects the member and the location, and the system checks the membership: status, validity, location, time window and remaining entries. There is no integration with turnstiles or readers; staff allow physical access.

Does 4gym.net collect membership payments automatically?

No. Renewal is manual and payments are recorded in a non-fiscal ledger. 4gym does not charge cards and does not issue fiscal invoices.

What reports does 4gym.net offer?

The overview shows members, active memberships and those expiring soon, today’s check-ins, who is in the gym and the month’s revenue per currency; on plans with advanced reporting there is also a date-range report.
