Memberships, renewals & door access control
How long does it take to get started with 4gym in my gym?
A small gym can start in a few days: create your account, add membership types, trainers and the class timetable, then switch on online booking. Sports clubs with several trainers and multiple locations take one to two weeks, depending on the member base and the access hardware you connect.
What membership types can I sell, and how do renewals work?
You can sell monthly, quarterly or annual memberships, capped-entry passes and session packages. Each type has its own rules: duration, class access, allowed time window and price. Renewal happens automatically on the due date or in one click, and the member is notified before expiry so you do not lose the next month.
Can I freeze a member's membership?
Yes. You can freeze a membership for a defined period — holiday, injury or time out of town — and the remaining days are automatically added to the expiry date. The freeze stays in the member's history with the reason and the interval, so there are no arguments on reactivation.
How does door access control work (card, QR code, turnstile)?
At the door, the member validates a card, wristband or the QR code from the app, and the platform instantly checks whether the membership is active and the time window is allowed. If the membership has expired or is frozen, access is blocked and the front desk sees the reason on screen. We connect to the turnstile or the reader already installed in your gym.
How do I track member attendance?
Every door validation and every class check-in is recorded automatically in the member record. You see how many visits they have per month, the hours they usually come, and who has not been in for several weeks — the at-risk list you can call or target with a win-back campaign.
Group classes, booking, trainers & personal training
Can members book their own spot in group classes?
Yes, online and 24/7. The member picks the class (aerobics, spinning, yoga, CrossFit, etc.), the trainer and the time, then confirms the booking from their phone, without calling the front desk. Spots are capped per class and the timetable updates in real time for everyone.
What happens when a class is full — is there a waiting list?
Yes. When all spots are taken, the member joins the waiting list. On the first cancellation, the first person on the list is promoted automatically and notified instantly by push or SMS, with a window in which to confirm. That keeps classes full even when people drop out at the last minute.
How do I cut no-shows in group classes?
With automatic reminders and cancellation rules. The member gets a confirmation and a reminder by SMS, WhatsApp or email before the class and can cancel in one click, freeing the spot for the waiting list. You can set a minimum cancellation notice and penalties for repeated absences.
Can I manage trainers and personal training sessions?
Yes. Every trainer has their own calendar, with availability and individually scheduled personal training sessions. You sell session packages (for example 10 sessions), and the platform automatically deducts one per completed session and warns you when the package is running out.
Does the platform work well on mobile?
Yes. The member booking page, the front-desk panel and the trainer calendar are natively responsive and fast on mobile — where most class bookings happen.
Trainer commissions, payments & revenue reports
Can I calculate trainer commissions automatically?
Yes. You set a commission per personal training session, per class taught or per membership sold, for each trainer, and the platform calculates their earnings from the work actually delivered. See each trainer's target, session count and payable commission in real time.
What recurring-revenue reports do I get?
You get monthly recurring revenue from active memberships, the renewal rate, new and lost memberships, personal training revenue and front-desk sales. You also see occupancy per class and per time slot, so you know which classes deserve a second session and which to close.
Can I invoice memberships directly from the gym?
Yes, through the 4b2b ecosystem. Memberships and session packages can generate invoices in 4invoices, with member details and the service pulled automatically from the sale. No double entry.
Which notification channels can I use for members?
We integrate notifications through 4notify: SMS, WhatsApp and email for booking confirmations, pre-class reminders, membership expiry notices and win-back messages ("we have not seen you in three weeks"). Members are notified on time, with minimal effort from the front desk.
Member data, pricing, trial & support
How do you protect members' personal data (GDPR)?
We protect member data with encryption, role-based access (front desk, trainer, administrator) and an audit log, in line with GDPR and applicable regulations. For medical clearance, fitness assessments and other sensitive data we capture consent right in the member record. The data belongs to the gym, you can export it any time, and we act as a data processor.
How much does 4gym cost, and is pricing in RON?
Yes, pricing is in RON. The cost depends on the plan and the size of the gym (active members, trainers and locations). See the full grid on the pricing page; all plans include memberships, class scheduling and baseline reminders, with no fee per booking.
Is there a free trial?
Yes. You can test the platform during the trial, with working memberships, class timetable and bookings, before choosing a plan. We do not ask for card details to start the trial.
Can I migrate my member base from Excel?
Yes. We import the member list from an Excel or CSV file: name, contact details, membership type and expiry date. After the import each member already has an active membership and the correct renewal date, and reminders start from day one. We assist with the first upload and check the result together.
Do you offer support after launch, and is there a partner programme?
Yes. Plans include updates, backups and support through the in-panel channel; for larger clubs we provide dedicated help with the timetable, access control and integrations.
