Payments — a manual payment ledger

  • You record each payment by hand: cash, card collected outside 4gym, bank transfer or another method, with amount, currency, date and reference.
  • A wrong entry is voided with a reason and stays in the history.
  • The overview shows this month's revenue for each currency, based on the recorded payments; the date-range report is included in plans with advanced reporting.
  • The ledger is not fiscal: 4gym does not charge cards or issue fiscal documents.

Members — one record for each member

  • Each member has a record with contact details, an automatically generated member code and notes.
  • Memberships show their status, entries left and validity dates.
  • Staff can freeze and resume a membership, renew it manually (the previous one stays in the history) and see the member's check-in history.

Timetable — classes and personal training

  • The timetable holds group classes and personal-training slots with location, trainer and capacity.
  • Staff book places for members; when a class is full, the member joins a waitlist and moves up automatically when a place frees up.
  • At reception, staff check members in and out manually; the system checks the membership before it records the visit.

Gym management software for every kind of fitness facility

4gym.net works for gyms, sports clubs and studios that run membership plans and class timetables — from neighbourhood gyms and small chains to CrossFit boxes, yoga studios, martial-arts halls and pools. Your team manages members, memberships, classes, reception check-in and a manual payment ledger in the panel; members do not log in.

Classic fitness gyms

Classic fitness gyms

  • A strength-and-cardio floor that sells monthly, yearly or 10-entry passes.
  • Each member has a record with a member code, the active membership, its end date and the entries left.
  • Reception checks members in and refuses expired, frozen or cancelled memberships.
  • The overview shows who is inside now and which memberships expire soon.
Sports clubs

Sports clubs

  • A club with several sections and training groups, each with its own sessions, trainer and hall or pitch.
  • A trainer cannot be booked into two overlapping sessions, and every venue can be a location on 4gym plans that include multi-location.
  • Yearly or seasonal dues are membership plans with a duration in days, and each payment is entered in the manual ledger.
  • Staff freeze a membership or renew it by hand when a new season starts.
Yoga and pilates studios

Yoga and pilates studios

  • A studio with small classes where every spot counts.
  • Staff book members into a class with a fixed capacity, and once it is full the next member joins a waiting list.
  • When someone cancels, the oldest waiting member is promoted automatically.
  • Packs of 5, 10 or 20 entries are entry-limited plans, and an entry is used at reception check-in, not when the class is booked.
CrossFit and functional training boxes

CrossFit and functional training boxes

  • A box with classes at fixed hours and a coach on every class.
  • Each session has a start and end time, a location, a trainer and a capacity you set to match your stations.
  • Staff book members in, and each session shows how many are booked and how many are waiting.
  • If you raise a class's capacity, the people waiting move up in order, and reception check-in records who is in the box.
Gyms with off-peak and time-window plans

Gyms with off-peak and time-window plans

  • A gym that sells off-peak or morning memberships.
  • A plan can carry an allowed time window, for example 08:00–16:00 in the location's time zone, and can be entry-limited or unlimited.
  • At check-in the system validates the membership status, the hours and the remaining entries, and refuses the visit outside the window.
  • Staff do the check-in at reception; 4gym does not operate access equipment.
Personal training studios

Personal training studios

  • A studio built around 1-on-1 sessions.
  • A personal-training slot has one trainer, one member and a capacity of 1, and a trainer cannot be booked into two overlapping slots.
  • Session packs are entry-limited plans, for example 10 entries, and an entry is used at reception check-in.
  • Payments recorded for a member stay linked to that member and membership.
Martial arts halls

Martial arts halls

  • A hall with groups by level and age and several instructors.
  • Each instructor is a trainer in the panel, and each hall or mat area can be its own location on 4gym plans that include multi-location.
  • Monthly fees are 30-day membership plans that staff renew by hand when the fee is paid.
  • Exam fees and other one-off payments go into the manual ledger with a reference, and a member's notes can hold a guardian's contact details.
Pools and aquatic centres

Pools and aquatic centres

  • A pool or aquatic centre that runs swimming courses and free-swimming passes.
  • Each course is a group class with a capacity, a trainer and a waiting list, while a pass can be entry-limited or restricted to allowed hours.
  • Reception check-in validates the pass and the hours before the visit is recorded, and check-out closes the visit.
  • On 4gym plans that include multi-location, each pool or hall can be a separate location.

Frequently asked questions

Quick answers to the most common questions about the 4gym.net platform for gyms, sports clubs and fitness studios.

How long does it take to set up my gym on 4gym.net?
You can start the same day: create the gym account, set the currency and time zone, define your membership plans, add your trainers and class timetable, then enter your members one by one in the panel (there is no Excel or CSV import). How long the initial setup takes depends mostly on how many members and membership plans you have.
What does the 4gym.net platform include?
4gym.net keeps the member registry, membership plans and memberships (with freezes and manual renewal), group classes and personal training sessions with a waiting list, trainer records, check-in and check-out at reception and a manual payment ledger in one account, plus an overview and, on plans that include it, date-range reports. It does not issue invoices, charge cards or send messages to members.
How many members and trainers can I have?
It depends on your plan: Start covers 100 members, Plus 500, Pro 2,500 and Premium 12,000. Trainers are limited to 3, 10, 30 or 100 per plan. Additional locations and date-range reports are available only on plans that include them.
Can I send SMS, WhatsApp or email notifications?
No. 4gym does not send SMS, WhatsApp, e-mail or push notifications to members or trainers, and it has no automatic reminders. Reception sees in the panel which memberships are about to expire and contacts members directly using the details on their record. For messaging there is a separate product in the 4b2b ecosystem, 4notify, which is not connected to 4gym automatically.
What do the plans cost and is there a trial?
Plans cost €1 per month (Start), €5 (Plus), €10 (Pro) and €20 (Premium). Every plan starts with 12 months free, no card and no yearly commitment. Prices are in euro; an account from Romania pays in lei at the BNR rate of the day plus 5 %.
Do I need technical skills?
No. The panel runs in a browser, with no code and no installation. If you can use a smartphone, you can use 4gym.net.

What it is

What gym management software is

4gym.net is a back-office panel for the gym team. It holds the member registry; membership plans and memberships with freeze, resume and manual renewal; group classes and personal-training sessions with capacity and a waitlist; manual check-in and check-out at reception; a manual, non-fiscal ledger of payments; and an overview with date-range reports (on plans with advanced reporting). Several locations and team accounts with roles come with the plans that include them. Members do not log in: staff enter bookings, visits and payments.

What you can manage with 4gym.net

  • Members: name, contact details, automatic member code, notes
  • Membership plans: duration, entry limit, price, allowed hours
  • Memberships: freeze, resume and manual renewal with history
  • Trainers, group classes and personal-training sessions
  • Bookings with a waitlist; check-in and check-out at reception
  • Manual payments ledger and the month's revenue per currency

Pros

  • One panel for members, memberships, classes, reception and payments

  • Class capacity with a waitlist: when someone cancels, the member who has waited longest moves up
  • Freeze, resume and manual renewal, with the membership history kept
  • Payments ledger with void-with-reason; the month's revenue is shown per currency
  • Panel in 21 languages and team accounts with roles

Cons

The current limits, stated plainly:

  • No member app or login: staff make the bookings and check-ins
  • Renewals and payments are recorded by hand: nothing renews or charges automatically, and members get no automatic messages
  • No link to turnstiles, card readers or QR codes: entry is recorded manually at reception
  • The payments ledger is non-fiscal and issues no invoices; other 4b2b products cover invoicing
  • No file import: members are added in the panel
